How to merge patients (If your eMHA is integrated with Rio)

This help guide is relevant if your version of eMHA is integrated with Rio

If there are duplicate patient records for the same patient, you can merge these patient records together. The patient merging process should be started from the secondary record you want to be merged into the primary record. Please note that not all users may have this functionality as your Trust or Organisation will choose who should have the ability to do this e.g. just MHAA, or AMHPs. Please contact your MHA Office or your team lead if you have any questions regarding this.

How to merge patient records

  1. Go to the secondary patient's page and click 'ACTION' on the patient banner at the top right of the page and then click 'MERGE PATIENT'.

  2. Search for the primary patient record you would like to merge this record into. You can search by NHS number, or if you do not have this you can search by demographics.

  3. Select the correct patient record. If there are no correct results you can clear the search and add in further patient details and search again.

  4. You will then be shown which patient record will be removed and which patient record will become the primary record.

  5. Select a reason why you are merging the patient records and confirm the merge.

What happens to forms once you have merged patients?

  • Draft forms:The patient information for draft forms will update automatically to reflect the new patient.

  • Signed forms: Patient information will not be updated on any signed forms or form part.

How to undo a merge

You have 30 days to undo the merge. All forms for the secondary patient will be restored back to the secondary patient record.

Any new forms created for the primary patient can be restored back to the primary or secondary record. You can pick the forms you want to restore when you undo the merge.

  • Click ‘ACTION‘ on the patient banner.

  • Click ‘Unmerge Patient‘
